What Inventory Management Really Solves

Inventory management is simply knowing, at any moment, exactly what you have, what it cost you, what you sell it for, and when you're running low. For most Nigerian shop owners, that knowledge currently lives in a mix of memory, a notebook, and hope. The result is predictable: fast-moving items run out mid-sale, slow movers tie up money on the shelf, and nobody can say for certain what the business is actually worth in stock.

Pocket Shop Manager's Inventory module replaces the notebook with a digital catalog that lives on your phone, updates itself automatically every time you sell or restock, and works whether or not you have internet.

Setting Up Your Product Catalog

Adding a product takes under a minute. For each item you enter a Product Name, Cost Price and Selling Price (so your profit margin calculates automatically on every sale), a Stock Quantity, and a Low Stock Alert threshold. Optional fields let you go deeper when you need to: SKU/barcode for scan-to-sell, an expiry date for perishables, brand, unit of measure (pcs, kg, litre, bottle), and packaging type for carton or pack pricing.

  1. Tap the Products tab, then the "+" button to add a new item.
  2. Enter the name, cost price, selling price, and starting stock quantity.
  3. Set your low-stock threshold โ€” the app defaults to 5 units if you skip it.
  4. Optionally scan a barcode, set an expiry date, or assign it to a category.
  5. Confirm with your staff PIN. Every product addition is logged to that staff member for accountability.

Never Run Out Without Warning

Every product you add gets a low-stock threshold. The moment your quantity drops to or below that number, PSM flags it on your Dashboard automatically โ€” no manual stock-counting required to catch it. For perishable goods, set an expiry date and you'll get a warning 7 days out, giving you time to discount and move it before it becomes waste.

๐Ÿ“ฆ Every Movement Is Logged Every time stock is added, sold, or adjusted, PSM creates a stock movement record automatically. That gives you a complete, searchable history of where every unit went โ€” sold, restocked, or damaged โ€” without you having to track it by hand.

Categories and Fast Checkout

Organise products into categories โ€” Beverages, Toiletries, Provisions, whatever matches how you actually sell โ€” so staff can find items quickly at checkout instead of scrolling through hundreds of products. Combined with barcode scanning, this is what turns a 30-second sale into a 5-second one during your busiest hours. Use the search bar to find any item by name instantly, or tap the "Low Stock" filter badge to see, at a glance, only what needs restocking today.

Editing, Restocking, and Correcting Mistakes

Prices change, suppliers change, and sometimes an entry is just wrong โ€” inventory management has to make fixing that painless. Tap any product to open it, then tap the edit icon to update its name, price, or category. As with every sensitive change in PSM, a staff PIN is required to save the edit, so prices can't be quietly altered without a record of who did it.

When new goods arrive, you add stock to the existing product rather than creating a fresh listing โ€” this keeps your sales history and reporting accurate over time. Tap the product, tap "Add Stock," enter the quantity received, confirm with a staff PIN, and the new units are added to your running total instantly, with a stock movement record created automatically.

๐Ÿ””

Low-Stock Alerts

No more discovering you're out of stock only when a customer asks.

๐Ÿ“…

Expiry Tracking

7-day advance warning on perishables so nothing goes to waste unnoticed.

๐Ÿ“‹

Full Stock History

Every addition, sale, and adjustment recorded automatically.

๐Ÿ‘ค

Staff Accountability

Every change to inventory is tied to the staff member who made it.

๐Ÿ“ต

Works Offline

Your entire catalog lives on your device โ€” no connection required.

From Inventory to Insight

None of this matters if it just sits as data. Every product you track feeds directly into your Business Reports โ€” your Best Sellers list, your gross profit calculation, and your monthly PDF summary all draw from the exact same inventory records you keep up to date at the counter. Good inventory management isn't a side task; it's the foundation everything else in the app is built on.

Frequently Asked Questions

A notebook can't calculate your profit margin automatically, warn you before you run out, or show you a full history of every stock movement. Pocket Shop Manager does all three the moment you record a sale or restock โ€” with zero extra effort, and none of the arithmetic errors that come with handwritten books.
Yes. You can organise your entire catalog into categories like Beverages, Toiletries, or Provisions, and filter or search by category at checkout for faster service, especially useful once your catalog grows past a few dozen items.
You set a low-stock threshold per product (default is 5 units). The moment stock drops to or below that number, it's flagged automatically on your Dashboard โ€” no manual counting needed, and no more finding out you're out of stock only when a customer asks.
Yes, completely. Your entire product catalog, stock levels, and movement history are stored locally on your device and work fully offline, syncing to your Google Drive backup only when you're connected.
Yes. Set an expiry date on any product and PSM will warn you 7 days before it expires, giving you time to discount or move the item before it becomes waste.
Staff can add products and stock if you grant them that access, but every addition or edit requires their personal PIN โ€” so you always know exactly who changed what, and when.
